We are looking for an energetic, detail-oriented individual with strong communication and organizational skills to support a variety of areas at the Law Society of Manitoba, including Policy, Practice, Ethics and Equity, and Custodial Matters

The Law Society of Manitoba is the independent regulator of approximately 2,400 practising lawyers that comprise the legal profession in Manitoba.  The Law Society’s mandate is to protect the public interest by ensuring that legal services are delivered by a competent, honourable and independent legal profession.

The Law Society requires a full-time permanent administrative assistant to provide administrative support to the Director of Policy & Strategic Initiatives, to the Practice, Ethics & Equity Advisor, and to the French Language Services Policy Counsel. Additionally, this role will provide administrative support on custodial matters.

Responsibilities:

Support to the Director of Policy & Strategic Initiatives, the Practice, Ethics & Equity Advisor, and the French Language Services Policy Counsel

These individuals work on a variety of projects and initiatives and support several Law Society bencher (board) committees.

  • The Administrative Assistant will provide general administrative support to these individuals by:
    • Assisting in preparing agendas, taking minutes and following up on action items
    • Tracking application and reporting deadlines for programs and communicating with applicants and participants
    • Scheduling meetings
    • Maintaining and organizing confidential documents, records, and member data, while ensuring the confidentiality of sensitive information and adherence to the Law Society’s ethical standards

Custodial Matters

Periodically, the Law Society needs to take control over and wind up a lawyer’s legal practice, pursuant to a Court Order. In these cases, Law Society custodians are appointed to wind up the practice.

  • The Administrative Assistant will provide administrative support to the custodians to:
    • Respond to phone calls, emails and inquiries from the lawyers’ clients and other members of the public regarding the location of their files and original documents such as wills; and
    • Provide other administrative support for the custodial process such as creating an inventory of files and making appropriate storage arrangements for the files.

Qualifications

Required:

  • Administrative training or equivalent experience
  • Proficiency in Microsoft Word, Excel and Adobe Acrobat Pro
  • Strong organizational and time management skills
  • Excellent written and oral communication skills
  • Ability to work both independently and collaboratively as part of a team

Assets:

  • Experience working in a legal workplace or for a regulatory body
  • Experience handling email and phone inquiries from the public
  • Ability to speak in French would be considered an additional asset
